The Brief

A global technology company was preparing for its annual developer conference and needed 15,000 branded welcome kits ready before attendees arrived on site. The kit was planned as the first physical touchpoint of the event, so it needed to feel organized, useful, and consistent with the conference identity from the moment it was handed out.

The client wanted a coordinated set built around practical event items. Each product had to support daily use during the conference while still carrying a clear branded message after the event ended.

The event team also needed the kits to arrive ready for distribution. They did not want to receive loose products, sort items manually, or assemble sets at the venue. Each kit had to be packed before shipping, divided by regional delivery plan, and prepared for smooth handoff at registration desks.

The Challenge

The project was not difficult because of one product. It was difficult because several different product types had to be developed, branded, approved, packed, and delivered under the same six-week timeline. Drinkware, fabric bags, paper products, and rigid packaging each follow different production processes, and each one reacts differently to color, logo placement, and finishing.

Brand consistency was the main technical issue. A logo that looked accurate on a notebook cover could appear darker on fabric or more reflective on stainless steel. The same Pantone reference had to be interpreted across multiple materials and decoration methods without making the final kit feel mismatched.

Key Project Risks

  • Timeline pressure: only six weeks were available for sourcing, sampling, approval, bulk production, packing, and shipment.
  • Material differences: stainless steel, canvas, paper, and cardboard all produced different visual results with the same brand color.

The packaging requirement added another layer of complexity. The box had to look clean when opened by attendees, but it also had to protect the products during bulk carton packing and warehouse handling. If the insert was too loose, items could shift and scuff. If it was too tight, packing speed would slow down and the final presentation could be inconsistent.

The Solution / Approach

The first step was to confirm the product route, available materials, decoration methods, packaging structure, and production timeline before samples were prepared.

For the packaging, we designed the insert around the actual items rather than using a generic gift box format. The tumbler, notebook, tote, and smaller accessories each had a clear position, helping the set feel intentional while reducing movement during shipment.

Once the samples were approved, Levin Promos followed production progress, decoration checks, packing order, carton labeling, and delivery planning. This helped reduce communication gaps between suppliers and gave the client one coordinated workflow from brief to final shipment.
